Emergency Nutrition Network (ENN) is a charity in the UK no. 1115156, and a limited company no. 4889844. 

ENN takes your privacy seriously. This notice outlines how we collect, use and store your personal data. By using our website and en-net forum, you consent to this notice. For detailed information regarding webinars, meetings, workshops and conferences please refer to Annex A.

How we obtain personal information 

Most of the personal information we process is provided to us directly by you the user. Normally you will only provide such details if you wish to sign up for our publications, newsletters, networks, events or other ENN information, updates and resources. 

We also receive personal information indirectly. We use analytical and statistical tools that monitor details of your visits to our website and the resources that you access, including, but not limited to: traffic data, location data, weblogs and other communication data.

How we store your personal information

We take appropriate physical, electronic, and managerial measures to ensure that we keep your information secure, accurate, and up to date, and that we only keep it as long as it is reasonable and necessary to do so.

We use appropriate physical and technical security measures to protect your personal information during electronic transmission and when it is stored. All staff receive data protection training to ensure we do everything possible to secure your information.

For financial, technical and operational reasons, we may, on occasion, need to use a service provider outside of the United Kingdom.

The transmission of information via the Internet or email is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of data while you are transmitting it to our site; any such transmission is at your own risk.

How long we keep your information for

We keep your information for no longer than is necessary for the purposes it was collected for. The length of time we retain your personal information is determined by operational and legal considerations. We review our retention periods on a regular basis.

If you tell us you do not consent to receive any or all of our communications or resources, we will record you as unsubscribed to ensure you do not receive further communications.  You may also ask us to delete all your information from our records, in accordance with your right to erasure shown below.

Lawful bases 

Under the General Data Protection Regulation (2016/679) (“GDPR”) and the Data Protection Act (DPA) 2018, the lawful bases we rely on for processing this information are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting office@ennonline.net 
  • Legitimate interest. Where the processing is reasonably necessary for the purpose of a legitimate interest pursued by us and your privacy rights do not override the legitimate interest.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information. 
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

Applying for ENN Opportunities 

If you apply for an advertised vacancy, whether this is a paid or unpaid opportunity, we will only use the information you give us to process your application and to monitor recruitment related statistics. If we want to disclose information to someone outside of ENN’s staff and trustees – for example, if we need a reference, or need to get a ‘disclosure’ from the Criminal Records Bureau – we will make sure we tell you beforehand, unless we are required to disclose this information by law. If you contact us for a job or volunteering opportunity, we may also collect information so we can assess your suitability for a role.

If you are unsuccessful in your application, we will retain your personal information for a year after we have finished recruiting for the post you applied for. After this date we will destroy or delete your information, unless you have agreed for us to retain your data for future opportunities of interest. 

Changes to this Privacy Notice

This privacy notice will be reviewed periodically.  If we make significant changes we will publish them clearly on our website or contact you directly with more information.

ANNEX A: Webinars, meetings, workshops and conferences

This annex provides information on how ENN may collect and process your personal data when you register for and/or attend one of our webinars, meetings, workshops and conferences. 

Should you decide to attend one of our online events, you may need to sign-up to the platform through which it is provided (such as Zoom), and for your use of their service, they will be the data controller. To find information about how they process your personal data, please see their privacy information.

What personal data ENN collects about you?

If you register for and/or attend one of our events, we may collect and process the following personal data about you:

  • data that you provide to register for the event and/or to request further information about it, such as your name, email address, organisation, type of organisation, job title, country;
  • data that you provide if you contact us about an event, such as your name and contact details;
  • data that you provide if you contribute to the event, including by asking a question and/or through the poll, question and answer and/or chat functionality during the webinar;
  • data that you provide by responding to feedback requests, questionnaires and/or surveys after the event; 
  • We record some online events and all presenters will have their image and audio captured in the recording. If you are an attendee you may have the option of sharing your image and audio during the session. If you choose to do so, this will also be captured in the recording. 

If an event is being recorded we will always notify you.

How and why will ENN process my personal data?

We use your email address to provide you with the event details. This will include information about any recording taking place. For recorded events we may also email you a link to the recording or other capture from the event once the event has concluded.an

For some events we may publish the recording on our website and/or YouTube channel so this is accessible to a wider audience. If an event recording will be published we will always notify you before the event.

In most cases, ENN will not publish delegate lists for open access video conferences, focus groups, webinars or live broadcast events but your name and email address may be visible to others in attendance during the event.

For some meetings and events, we may publish attendance records, for instance in formal meeting minutes / notes, and we may also share delegate information with other attendees.  In these cases, this will only be done with prior attendee consent.

We may also use the information that you have given for the following purposes:

  • To record your attendance;
  • To respond to your queries and requests;
  • To gather and analyse your views and obtain your feedback.

If, when you register for a webinar, you consent to receive email updates from ENN, we will also use your personal data to send you information by email about satisfaction surveys, upcoming events, other surveys, further research and other ENN resources and general updates which may be of interest to you. You may unsubscribe from receiving these emails at any time by following instructions which will be provided in each email. 

Do we use any data processors?

We use Zoom to deliver our online events.

We use YouTube and our website to publish the recordings of some events.

Zoom and YouTube sites both drop non-essential cookies.

Do we transfer data overseas?

Yes, transfers of data are made to overseas data centres, for instance including those of Microsoft and Google. To find information about how they process your personal data, please see their privacy information.
